Information I collect

The information I collect depends on how you work with me. It may include:

• your name, email address, telephone number and postal address;
• your wedding or session date, venue, plans and the names of relevant family members or suppliers;
• enquiry messages, questionnaires, contracts, invoices and payment records;
• photographs and video created while providing photography services;
• correspondence by email, telephone, social media or through my client systems;
• website information such as device, browser, approximate location, pages visited and cookie choices.

How I receive it

You may provide information through this website, Studio Ninja, Calendly, email, telephone, social media or in person. I also create and receive information while planning, photographing, editing, delivering and administering your booking. Website analytics and security tools may collect limited technical information automatically.

Why I use personal information

I use personal information to:

• reply to enquiries and provide quotations or availability;
• prepare for and deliver photography services;
• manage contracts, payments, galleries, albums and customer support;
• keep business, tax and insurance records;
• protect this website and understand how it is used;
• show recent work and promote Eastside Photography where I have a lawful basis to do so;
• send marketing only where permitted, with an unsubscribe option.

My lawful bases

Under UK data protection law, I rely on one or more of the following:

• Contract: to take steps before a booking and to provide the service you book.
• Legitimate interests: to run, protect and improve the business, communicate with clients, maintain an archive and, where appropriate, display my work. I balance these interests against your rights.
• Legal obligation: for tax, accounting, insurance or other legal requirements.
• Consent: where I ask for a specific choice, including some marketing or uses of photographs. You can withdraw consent at any time.

Photographs, guests and children

Photographs may identify you, your guests and children attending a wedding or session. I create and process these images to provide the booked service and for related legitimate business purposes. The person making the booking should make attendees aware that photography will take place.

If I want to use images in a way that requires consent, I will ask. If you have a concern about a photograph appearing in my portfolio, website or social media, contact me and I will consider the request promptly, taking account of the lawful basis involved and the rights of everyone pictured.

Who I share information with

I only share information where it is reasonably necessary. Providers may include website hosting and WordPress services, Studio Ninja, Pic-Time, Calendly, email and cloud-storage providers, payment or accounting services, professional advisers, laboratories, album suppliers and trusted second photographers or assistants. I may also disclose information where required by law or to protect legal rights.

These organisations act under their own privacy terms or as processors working on my instructions. I do not sell personal information.

International transfers

Some service providers may store or process information outside the UK. Where this happens, I use providers that rely on an approved legal safeguard, such as UK adequacy regulations or recognised contractual protections.

Cookies and analytics

This website uses essential technology needed for security and operation. It may also use Google Analytics 4 to understand general website traffic and improve the site. Analytics can collect information about your device and how you use the pages. You can restrict or delete cookies through your browser settings. Any cookie controls shown on the website should also be used to record your choices.

How long I keep information

• Unbooked enquiries are normally kept for up to 24 months so I can answer follow-up questions and understand previous contact.
• Contracts, invoices and accounting records are normally kept for six years where required for business and tax records.
• Client galleries remain available for the period stated in your booking information or delivery email.
• Original and edited photographs may be held in secure archive storage for longer for backup, client service and legitimate business purposes.
• Marketing records are kept until you unsubscribe or the information is no longer useful.

I may keep limited information for longer where a legal claim, insurance matter or legal requirement makes that necessary.

Security

I use reasonable technical and organisational measures to protect personal information, including access controls, reputable service providers and secure storage. No internet or storage system can be guaranteed completely secure, but I review the services used and limit access to what is needed.

Your rights

Depending on the circumstances, you may have the right to ask for access, correction, deletion, restriction, portability or to object to processing. Where processing is based on consent, you can withdraw that consent. You can also object to direct marketing at any time.
